The client: Sofrat
Sofrat is an independent engineering consultancy serving businesses in construction, energy, transport, and oil and gas. Managing employee time and leave involves employees themselves as well as HR and accounting teams.
The challenge: replacing a cumbersome employee portal
Sofrat’s existing portal handled leave requests and employee timesheets. It was difficult to administer and time-consuming to use, resulting in limited employee adoption. Some forms, particularly those used for time reporting, also suffered from technical issues.
The goal was to simplify everyday tasks while giving HR and accounting teams the tools to track requests, manage approvals and work with the information collected.

Naes’ approach: a custom Drupal application
Naes designed and developed a new application around Sofrat’s working practices. Functionality, interfaces and user journeys were designed together to meet the needs of different users within a single tool.
A management workspace for HR and accounting teams
A central dashboard brings together administrative and tracking functions:

Reviewing and processing leave and salary advance requests.

Finding and downloading employee timesheets.

Managing user accounts and public holidays.

Importing employee records and paid leave and RTT balances from CSV files exported by the CEGI payroll system.
These imports allow payroll information to be transferred into the portal without re-entering each employee’s details manually. RTT refers to additional time off under French working-time arrangements.
Self-service tools for employees
Employees have a dedicated space to check their leave balances, submit leave or salary advance requests, and track their status.
An interactive calendar supports time reporting and displays absences alongside their approval status. Employees can also generate activity reports and review their request history.
An interface designed for everyday use
Naes refined the forms and information layout to make key actions easier to access. The interface adapts to desktop computers, tablets and smartphones.
Automated notifications keep the relevant users informed at key stages of request processing.
The result: a shared tool for employee administration
The application brings employee requests and administrative processing into one environment. HR and accounting teams have structured requests, clear statuses and exportable reports, while employees can access their information and complete their tasks through a dedicated workspace.
The project combines custom business application development, payroll data exchange and interface design. Naes adapted Drupal to Sofrat’s operating requirements, providing a foundation for further functional development.
Support beyond development
Naes’ work also includes application maintenance and functional adjustments, with requests tracked through the Naes Support platform.
Naes also designed and developed Sofrat’s corporate website, extending its involvement across the company’s web tools.
